Pure is part of the new university Comprehensive Research Information System (CRIS) and replaced RMIS. It is used to record and manage staff research details concerning research outputs, research profiles, projects, research activities, awards and impact. It is also the institutional repository for USW, storing the research outputs generated by researchers and replaced DSpace.
On Monday 3rd October 2016 all academics are required to login using your university username and password and check your personal information to ensure it is accurate and up to date by Friday 4th November 2016.
Before logging in to Pure please refer to the Pure timetable below which details the functionality available at launch and over the coming months. Please note that not all functionality will be available at launch, but will become available at a later stage. This is due to Pure relying on other University of South Wales (USW) systems to be implemented before certain functions can be made available in Pure.
When you log in to Pure please be aware that the information presented to you has been migrated from existing USW systems i.e. iTrent and RMIS.
ACTION: Please refer to the table below and complete all activities listed for October 2016 which relate to specific functions. To the right of each function you will find a statement regarding the input and involvement we require from you to bring your profile up to date. A complete and up to date profile can be used to provide reports about your research activity for your own purposes but they will also be used to provide reports for Executive, Deans and faculties, Research Institute Directors, and Research Group leads.

|Function: Personal Profile|| Please check that your details are correct-this information originates from the ITrent (HR) system. If any of your personal details are incorrect e.g. job title, name, title please log a call with IT Support. Please refer to page 7 How to Edit your Personal Profile of the USW Pure Manual.
You have been aligned to your Faculty and Research Institute, but you have not yet been aligned to your School, or Research Group/Unit. Below you will find the anticipated schedule for the delivery of this functionality.
|Function:CV||The CV function will be available at launch but will only be able to collate the information that is present. Eventually, the CV function will enable the collation of all research activity in an editable format. Please refer to page 9 Create and Edit your CV of the USW Pure Manual.|
|Function: Research Outputs|| The Research and Innovation Services (RISe) team have migrated content that had previously been added to the Research Management Information System (RMIS) and DSpace repository. Please be mindful that this will not provide a complete overview of your academic profile or research activity and will only reflect the information held in RMIS and DSpace repository. As of 3rd October 2016 you are required to add your outputs to Pure as RMIS and DSpace will no longer operate.
Missing Research Outputs – despite the work that has been done so far, the system requires help from you to bring your profile up to date by adding outputs that are missing. You are required to add your outputs to Pure that are missing such as reports, books, book chapters, and conference proceedings. Please refer to page 15 How to Create a Research Output Template in the USW Pure Manual for guidance.
Note: Please do not add any missing journal articles at this time. During the Autumn (exact date to be confirmed and circulated to all staff once available) Pure will be able to harvest journal articles from some of the online databases that the University subscribes to. Please note that not all academic disciplines will benefit from the online harvesting function. Please refer to page 23 of the USW Pure Manual which provides an overview of the online services we can access.
Aligning your Research Outputs with your School We have aligned your research outputs with your faculty. To improve reporting we require all academics to edit each of your research outputs and add your school and any other organisational groups you may be associated with e.g. research groups and research institutes to each output. To do this on each output please:
Incorrectly labelled outputs – some research outputs may have been added to RMIS using the wrong template, and in some cases records relating to research outputs may be missing vital information – this has meant that migrating them into Pure has been difficult. If any of your research outputs require amending, this can be done very easily in Pure. Please refer to page 47 How to Change an Existing Research Output Template to Another in the USW Pure Manual.
Please note – this remedial work will be required once only. The information related to your research profile will be stored and maintained offsite on a secure server with backups undertaken daily. No one outside of the University and our support team at Elsevier will be able to access your information.

|Function: Research outputs- adding journal articles|| As stated above, Pure will be able to harvest journal articles from some of the online databases that the University of South Wales subscribes to.
Please note that not all academic disciplines will benefit from the online harvesting function. Please refer to page 23 How to Import from an Online Source in the USW Pure Manual.
Any journal articles that cannot be harvested from the available online sources will need to be added manually via the large green add new button within your Pure personal page. Please refer to page 15 How to Create a Research Output Template in the USW Pure Manual.

|Function: School alignment||Academic members of staff will be aligned with the correct schools within Pure.|
|Function: Research group/unit alignment||Academic members of research groups and units will be aligned within Pure once a review of these structures has been finalised.|
|Function: EFAS (External Funding Application System)||Information related to external funding applications will be migrated into Pure and linked with the relevant applicants. This information will then be reportable.|
|Early 2017||All users will be notified when this function is available and what action is required.|
|Function: Finance budgets related to funded research projects|| An interface between the new finance system (Tech One) will be created to enable the migration and reporting of live budgets into Pure. Budgets will still be maintained within the finance system, but budget overviews will be included within Pure for reporting purposes.
Information related to funded projects that have ended or completed will also be migrated into Pure to enhance the overview of research activity.

|Function: Replacement system for EFAS||As part of Phase 2 of the new finance system (Tech One), a new system for approving research funding applications will be implemented. This delivery date is dependent on the supplier.|

|Function: Postgraduate management system||USW is currently exploring options for the improved management of postgraduate study including PhD/MPhil students. As part of this endeavour postgraduate management systems are being considered. If the University decides to procure a new system, once implemented certain aspects of this system will be migrated into Pure and improve the management of research student supervision activity.|
